Module 03
What is the Ops Autopilot?
The Ops Autopilot is ecommerce operations automation for Shopify brands: the manual work that grows with orders — where-is-my-order tickets, address changes, inventory alerts, reorder points, refund approvals — handled by rules and escalated to a human only when a human is needed. It replaces the twenty hours a week someone spends being the integration.

In short
Ops work grows in a straight line with orders, and most brands staff it in a straight line too — another part-timer every time the ads work. The Ops Autopilot turns the repeatable half of that work into rules. A where-is-my-order ticket gets answered with the real tracking status before an agent sees it. An address change after checkout updates the 3PL if the order hasn’t shipped and opens a ticket if it has. Stock crossing a reorder point notifies the buyer with the supplier’s lead time already applied. Refunds under a threshold are approved automatically; above it, a human decides with the order history in front of them. Nothing is automated blindly: every rule is written from how your team actually handles the case today, tested on real orders, and logged so you can see what it did. The result is a backend that scales with spend instead of headcount.
What does the Ops Autopilot automate?
The repeatable half of ops. The judgement half stays with people.
| Case | Handled by rules | Escalated to a human |
|---|---|---|
| Where is my order? | Reply with live tracking, ETA, carrier link | Lost or damaged parcel |
| Address change | Update 3PL before shipment | Order already shipped |
| Low stock | Alert with lead time applied; draft PO | Supplier exception |
| Refund request | Approve under threshold; issue and notify | Over threshold, suspected abuse |
| Failed payment / subscription | Retry, notify, pause | Third failure |
How much time does it save?
The diagnostic measures it for your store. In the estimate tool we price manual ops hours at $38 an hour fully loaded over 50 working weeks; a team spending 20 hours a week on this work is spending about $38,000 a year on being the integration. The autopilot typically removes most of the repeatable share of those hours.
Is this a chatbot?
No. It is rules and integrations acting on your real order data. Customers get accurate answers, not generated ones; your team gets the cases that need a person, with context.
Questions
Will customers notice?
- Only that answers arrive faster and are right. Every automated message is written in your voice and shows real order data.
What if a rule is wrong?
- Every action is logged and reversible. Rules ship with thresholds you set, and we review the log with you in the first two weeks.
Does it work with my helpdesk?
- It is wired to the helpdesk you have — Gorgias, Zendesk, Help Scout, Freshdesk and others — through the Stack Bridge.
